Service and Warranty Coordinator (LATAM)

Detail-oriented professional responsible for managing customer service and warranty claims, coordinating with vendors and internal teams to ensure timely resolution, accurate documentation, and excellent customer satisfaction throughout the service process.

About the Role

We are seeking a detail-oriented and organized Service and Warranty Coordinator to join our team. This role manages warranty and service claims from clients and technicians, coordinates repairs or replacements with manufacturers, and ensures timely resolutions. The ideal candidate has strong communication skills, excellent attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

What You’ll Do

  • Receive, review, and process warranty/service/punch claims from clients, service technicians, and account teams
  • Monitor inbox/queue and review service/warranty claims received
  • Interact with requestors to gather necessary information and provide updates on claim status
  • Identify parts needed to complete repair
  • Submit claims to manufacturers and follow up to ensure timely approval and resolution
  • Coordinate product replacements, repairs, or service visits in collaboration with manufacturers and service teams
  • Prepare quotes and place orders when parts are out of warranty
  • Work with internal teams and external vendors to resolve warranty issues
  • Obtain labor quotes, as needed, and request reimbursement
  • Communicate claim status updates clearly and proactively to clients and internal stakeholders
  • Maintain accurate records of all warranty claims, correspondence, and resolutions in the company’s systems
  • Enter invoices in client system
  • Create and maintain client SOPs
  • Perform other assigned duties as required
