About the Role

We are looking for a Document Control Specialist to ensure the accuracy, completeness, and compliance of all documents processed through our system. This role reviews and validates Quotes, Purchase Orders (POs), and invoicing to ensure they meet contractual, template, and system requirements throughout the full workflow lifecycle.

This role is critical to maintaining data integrity, resolving non-compliance issues, and supporting our internal teams by ensuring that every record is properly aligned to its project, approved according to process, and fully traceable for audit and reporting.

Main Activities:

Document Review & Validation

  • Review Quotes, POs, and Invoices for formatting, completeness, and compliance with system and MSA requirements.
  • Validate key data points including pricing, SKUs, subtotals, RFQ references, and project hierarchy alignment.
  • Identify discrepancies and ensure corrections are completed before advancing records in the workflow.

Non-Compliance Resolution

  • Investigate records flagged by automated validations and perform root-cause analysis.
  • Correct related records when automation fails and coordinate reprocessing.
  • Log reasons, resolutions, and turnaround times to support quality tracking.
  • Escalate any issues or misalignments that may jeopardise the continuity of the operation or timely response.

Workflow & Approval Support

  • Track document status throughout the project lifecycle in the system.
  • Ensure correct notifications, tagging, approvals, and visibility across stakeholders.
  • Leave clear and insightful notes when analysis on records is performed to ensure visibility and understanding of the status of each record.

Controls, Monitoring & Reporting

  • Perform daily audits to identify pending, obsolete, or misaligned records.
  • Maintain an up-to-date tracker of open issues and compliance status.
  • Provide clear documentation to support audit traceability.

What Is Expected from the Candidate

  • Detail-oriented with strong analytical skills and the ability to spot inconsistencies quickly.
  • Able to work independently in a fast-paced, structured workflow environment.
  • Strong communicator who can coordinate effectively across teams and stakeholders.

Required Skills

  • Intermediate Excel skills (data validation, tracking, reconciliation).
  • Familiarity with ERP, CRM, OCR, or workflow automation systems is a plus.
  • Ability to understand and interpret PO and invoice documents.
  • Excellent written and verbal English communication (B2+).

Qualifications

  • Technical or associate-level qualifications in Business Administration or Accounting required.
  • 1–3 years of experience in document validation, accounts payable, financial compliance, or similar.
  • Experience in shared services or order-to-cash / procure-to-pay environments preferred.
  • Knowledge of contract-based pricing, SKU mapping, or dealer–manufacturer workflows is a plus.
